In this hybrid role based in Philadelphia, you will serve as a vital administrative and logistical engine for the Preservation Services Office and the Documentary Heritage and Preservation Services for New York program. You will be responsible for a diverse range of tasks including database management, coordinating educational webinars, and supporting the production of workshops and national conferences aimed at preserving cultural heritage.
Responsibilities
- Manage departmental databases and CRM systems to ensure accurate record-keeping and data integrity.
- Coordinate the logistics for educational programs, including webinars, workshops, and national conferences.
- Produce and host live online events using video conferencing platforms such as Zoom and WebEx.
- Update web content and social media platforms to promote upcoming preservation services and events.
- Prepare and distribute bi-weekly email newsletters and promotional marketing materials to the mailing list.
- Collaborate with senior management to organize standardized departmental records and facilitate assessment evaluations.
- Provide general administrative support including phone coverage, supply ordering, and processing department correspondence.
Qualifications
- You must have a minimum of a High School Diploma.
- You need at least two years of experience in educational programming, planning, or program administration.
- You have a minimum of two years of professional experience working within the cultural heritage sector.
- You possess excellent working knowledge of Microsoft Office 365 and video conferencing software.
- You demonstrate basic proficiency in graphic design tools like Canva or Adobe Photoshop and basic HTML.
- You exhibit strong organizational abilities alongside professional proofing and editing skills.
Nice to have
- Two or more years of experience working specifically within a collecting institution.
- One or more years of professional experience in project management.
- Advanced familiarity with CRM software such as Little Green Light or email marketing tools like Constant Contact.
Work environment
- This is a hybrid position requiring you to be on-site at the Philadelphia office.
- You will have the flexibility to work remotely two days per week after an initial 60-day orientation period.
- You will work in a professional nonprofit environment focused on art and historic artifact conservation.
- The role involves collaborating closely with the Director of Preservation Services and the DHPSNY Program Manager.
