In this role, you will serve as the operational heartbeat of a brand-new Irvine headquarters, ensuring that day-to-day office functions run seamlessly. You will balance a variety of tasks ranging from high-level C-suite administrative support and travel coordination to the hands-on management of office inventory and onsite events. This position is designed for an early-career professional who excels at multitasking and wants to gain deep insight into how startups scale from the ground up. You will work closely with internal teams, founders, and external partners to foster a professional and welcoming atmosphere. By managing the logistics of the workspace and executing culture-building activities like team outings and catered lunches, you will directly influence the company's daily productivity and employee engagement. Responsibilities
- Manage daily office operations including mail handling, delivery reception, and procurement of supplies.
- Provide extensive administrative and calendar scheduling support to members of the C-suite.
- Coordinate comprehensive travel arrangements for team members including flights, hotels, and ground transportation.
- Plan and execute company events and teambuilding activities to foster a positive corporate culture.
- Maintain a professional and organized workspace across the front desk, kitchen, and common areas.
- Oversee inventory management for office snacks, beverages, and essential equipment to ensure team needs are met.
- Implement and improve business operation processes to increase the overall efficiency of the administration team.
Qualifications
- At least 2 years of experience in an administrative or office coordination role.
- Exceptional organizational and planning skills with the ability to prioritize multiple projects.
- Strong verbal and written communication skills suitable for interacting with executive-level stakeholders.
- Demonstrated ability to thrive in ambiguous environments with a proactive, problem-solving mindset.
- High level of attention to detail to ensure accuracy in tasks and professional communications.
- Professional demeanor with the ability to maintain composure during high-pressure situations.
