Overview
In this role, you will provide essential clerical and administrative support to facilitate the smooth operation of a prominent non-profit organization. You will serve as the first point of contact for guests and callers, ensuring that communication flows efficiently across various departments and that all visitors receive a professional welcome. Your work will directly support the mission of improving health, education, and financial stability for the community. Your daily routine will involve a high degree of variety, ranging from document preparation and report formatting to managing office logistics and coordinating facilities issues. You will be part of a collaborative team in Rocky Hill, where your organizational skills and attention to detail will help maintain the infrastructure necessary for the organization’s public-facing programs and internal operations.
Responsibilities
- Manage incoming telephone calls by routing them to the appropriate staff members or taking detailed messages.
- Greet and assist all guests upon arrival to ensure they are connected with their designated hosts.
- Create and proofread a variety of business documents including reports, spreadsheets, flyers, and correspondence.
- Assemble and distribute materials for trainings, surveys, manuals, and community mailings.
- Monitor office supply inventory and coordinate the regular maintenance of office equipment.
- Provide logistical support for both internal staff meetings and external stakeholder events.
- Act as a point of contact for the Subsidy Department and handle system requests for the Office of Early Childhood.
Qualifications
- You must have a High School Diploma or GED with at least five years of related work experience.
- You need to demonstrate proficiency in Microsoft Office applications including Word, Excel, and PowerPoint.
- You must possess strong written and verbal communication skills with a high degree of organizational accuracy.
- You are required to have experience operating standard office systems and equipment.
- You must maintain a high level of confidentiality and professional demeanor when handling sensitive information.
- You need the physical ability to lift up to 20 lbs and perform repetitive tasks like bending and reaching.
Nice to have
- An Associate’s degree combined with three years of professional administrative experience is preferred.
- Experience working within a non-profit or social services environment is highly beneficial.
- Demonstrated ability to take initiative and solve problems independently in a fast-paced setting.
Work environment
- This is a fully on-site position located in a professional office setting in Rocky Hill, Connecticut.
- The standard working schedule is Monday through Friday from 8:00 am to 4:30 pm.

- The workspace consists of standard cubicles and open offices with typical fluorescent lighting and moderate noise levels.
