Overview
In this role, you will serve as the operational backbone of a creative design studio in San Francisco, ensuring that daily activities run smoothly for both staff and guests. You will act as a central point of contact for studio leadership and project teams, managing everything from complex scheduling and travel logistics to fundamental IT troubleshooting and facilities coordination. Your work is essential to maintaining a professional, welcoming environment that reflects the firm's commitment to high-quality design and social equity. As this is a temporary 4.5-month engagement, you will hit the ground running by integrating with the Seattle-based Operations team while supporting local marketing and business development efforts. You will have the opportunity to wear many hats, transitioning from greeting high-profile clients to assisting with award submissions and project data collection. This position is ideal if you thrive in a dynamic, mission-driven environment where your organizational skills directly impact the studio's overall efficiency and culture.
Responsibilities
- Manage administrative support for studio leaders, including calendar oversight, travel coordination, and expense reporting.
- Support project teams with meeting logistics, video conferencing setup, and travel arrangements.
- Maintain the physical studio environment by organizing shared spaces, ordering supplies, and coordinating catering for team meetings.
- Serve as the primary receptionist by greeting visitors and managing professional correspondence via phone and email.
- Provide onsite IT troubleshooting for hardware and connectivity issues in collaboration with the remote technical team.
- Act as the primary liaison with building management to resolve facilities-related issues and oversee office mail operations.
- Assist the marketing department with project data collection, event coordination, and the compilation of materials for award submissions.
Qualifications
- Exceptional interpersonal and communication skills with a strong focus on professional customer service.
- Strong organizational abilities and the capacity to manage multiple competing priorities with high attention to detail.
- Advanced proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word.
- Experience using digital collaboration tools such as Google Drive, Zoom, and Miro.
- Proven ability to adapt quickly to changing priorities in a fast-paced, creative office environment.
Nice to have
- Prior experience working with CRM databases for contact and project management.
- Background in event planning or professional meeting coordination.
- Previous exposure to marketing and business development activities within a professional services firm.
Work environment
- This is a fully onsite position based in the San Francisco, California studio.
- The standard working hours are Monday through Friday, 8:30 am to 5:30 pm.
- You will work within a collaborative, integrated design studio culture that prioritizes justice, equity, diversity, and inclusion.
- The role involves frequent interaction with both local studio leadership and a remote operations team based in Seattle.
