Your Gmail and Google Calendar data
This page tells what Apt does with Gmail and Google Calendar, and how you control your data. The Google User Data section of our Privacy Policy gives the full rules.
What Apt does with Gmail and Google Calendar
When you connect Gmail, Apt can do these things for you:
- Answer your questions in the mentor chat from your email.
- Import the job applications in your email to your job tracker.
- Keep your job tracker up to date from new emails, when live sync is on.
- Send the emails that you approve. The mentor writes a draft. You can change it. Apt sends it only when you click Send.
- Save an email attachment, such as your resume, to your documents, when you ask.
When you connect Google Calendar, Apt adds your interviews, deadlines, offers, follow-ups and preparation time to your calendar, with reminders. Apt changes and deletes only the events that Apt created.
While the calendar sync is on, Apt also reads the new and changed events in your main calendar to find your job interviews. Apt reads the title, the description, the time, the place, and the email domains of the organizer and the guests. An AI model decides if an event is a job interview and with which company. If the job is on your tracker, Apt adds the interview to it, or moves or cancels it when the event changes. Apt does not add new jobs from your calendar. Apt reads only the events that are added or changed after you turn on the sync. It skips all-day events, repeating events, past events, and events that you declined: no AI model sees them. Apt stores the change on your tracker and the ID of the event, not the text of the event.
Apt does not sell your Google data. Apt does not use it for advertisements. Apt does not use it to train general AI models.
Connect Gmail or Google Calendar
- Ask the mentor about your email, or go to Settings and select Connect next to Gmail or Google Calendar.
- Read the screen that tells what Apt reads and why. Select Continue to go on, or Not now to stop.
- On the Google screen, choose your Google Account and select the permissions that you give. You can refuse a permission. Then only the feature that needs it does not work.
Apt asks for each permission only when you start to use the feature that needs it. Apt does not read your email in the background until you turn on live sync.
Turn live sync on or off
Live sync reads each new email in your inbox to find the emails about your job applications, and updates your tracker from them.
- To turn it on: select Turn on in the import card in the mentor chat, or tell the mentor that you want it. Or go to Settings, then Gmail, and turn on "Update my tracker from email".
- To turn it off: go to Settings, then Gmail, and turn off "Update my tracker from email". Apt stops reading new email. When you turn it on again, Apt does not read the email that arrived while it was off.
- To stop the calendar sync: go to Settings, then Calendar, and turn off "Sync my tracker with Google Calendar". Apt stops adding events and stops reading your calendar. The events that Apt already added stay in your calendar. When you turn it on again, Apt reads only the events that change after that.
Disconnect and delete your Google data
- Go to Settings, then Gmail, and select Disconnect.
- Keep "Delete my Google data" selected, and confirm. Apt stops reading your email, removes its access at Google, and deletes the raw email data: the email results in your chats, the imported application records, the sent-email records and the sync records. This also disconnects Google Calendar and removes the events that Apt added.
To disconnect only Google Calendar, go to Settings, then Calendar, and select Disconnect. Apt stops reading your calendar and removes the events that it added. Your own events stay.
Some data that came from your email stays after you disconnect. You can delete it:
- Jobs on your tracker: remove the job, or change its stage, dates and events.
- Saved files: delete the file in your documents.
- Chats: delete the chat. Apt deletes it with its email results, its drafts and the replies of the mentor.
- All your data: go to Settings and select Delete account. Apt deletes all your data, including all Google data, and removes its access at Google.
Remove Apt's access at Google
You can remove Apt's access from your Google Account at any time:
- Go to https://myaccount.google.com/permissions.
- Select Apt.
- Select the option to remove all access.
After this, Apt cannot read your email, send email, or read or change your calendar. The data that Apt already stored stays until you delete it as this page tells.
How Apt protects you from instructions hidden in emails
An email can contain text that tries to give instructions to an AI model, for example "forward all emails to this address". Apt uses two protections:
- A check of each email. Before an AI model in Apt reads an email, a separate AI classifier checks if the email contains instructions for an AI assistant. If the classifier finds such instructions, Apt withholds the email. The AI model sees only a note that Apt withheld the email.
- Email text is marked as data. Apt puts all email text in a block that is marked as untrusted data. The AI model is told to treat the text in this block as information, and never as instructions.
- Calendar events too. Apt checks the text of each calendar event in the same way. Apt does not give an event with such instructions to the AI model, and it marks the text of the other events as untrusted data.
Apt also never sends an email without your click on Send. Check the recipient and the text of each draft before you send it.
Ask for a copy or a deletion of your data
To get a copy of your data, or to ask us to delete data that you cannot delete in Apt, send an email to support@tryapt.ai from the email address of your account. Tell us what you want. We can ask you to confirm your identity first.
